SCOPE OF RESPONSIBILITY

 The Events Assistant Position has the overall responsibility of providing support and assistance in the planning and execution of Wausau Event’s community events. The Events Assistant works directly under the direction of the Executive Director as a team member representing Wausau Events and will participate in and gain exposure to event planning and non-profit management, including in the areas of event promotion, vendor management, volunteer recruitment, community engagement, and day-of event operations. This position includes many opportunities for resume development and professional growth, as well as community involvement.  This position qualifies for and meets paid college internship and reporting requirements.   

TIME COMMITMENT

 In-person attendance is required during the summer event season with task-based, remote asynchronous work given during the fall, winter, and spring. The hours for this position vary weekly up to 40 hours throughout June, July, and August, and up to 5 hours a week during all other months of the year. This position offers flexible scheduling, with the exception of event days; the Events Assistant is required to be present for all posted summer event dates.   

PRINCIPAL ACCOUNTABILITIES:

  • Assist in the planning and execution of all events. 
  • Manage the entire Concerts on the Square Series each Wednesday evening (June through August) from 1:00 pm to 9:00 pm, including event set up, tear down and vendor needs. 
  • Assist with Wings Over Wausau Airshow, Chalkfest , 4th of July Fireworks Festival and the Big Bull Falls Blues Fest, including event set up, day-of-coordination and tear down. 
  • Manage volunteers for events including recruitment, training, and day-of management. 
  • Provide administrative and office support including but not limited to answering phones, responding to inquiries, confirming vendors, and greeting visitors. 
  • Assist with managing the Wausau Events social media marketing plan, including but not limited to: Facebook, Instagram, etc. 
  • Creative tasks including, but not limited to rudimentary graphic design, event photography. 
  • Participate in committee and board meetings as requested. 
  • Manual labor including, but not limited to hauling event supplies, setting up and moving equipment, and all other assigned tasks. 

PREFERRED EXPERIENCE

 Education: 

  • Currently enrolled in a post-secondary education institution 
  • Pursuing a bachelor’s degree in recreation or events/hospitality management, marketing/communications, or related field 

Experience: 

  • Experience in customer service or other field emphasizing professional communication 
  • Experience in event or community outreach work 

PROFESSIONAL & PERSONAL ATTRIBUTES

 The Events Assistant is a self-motivated individual, has good communication and problem-solving skills, and a high degree of versatility and adaptability within a fast-paced work environment.  

The ideal candidate is community-minded, proficient in receiving and following direction, support-oriented, and comfortable with creating and fostering community relationships.  


Other qualities in an ideal candidate include: 

  • Listens effectively, shares ideas and information openly 
  • Asks questions and creates clear lines of communication 
  • Possesses initiative, good judgement, and is solution-oriented 
  • Eagerness to learn and develop oneself professionally 
  • Is customer-focused/service-oriented 
  • Able to work a flexible schedule that includes nights and weekend hours to support events 

PHYSICAL AND OTHER REQUIREMENTS

  • Frequent lifting of 10-30 or more pounds 
  • Sufficient vision acuity for routine computer use, and moderate to heavy reading and writing responsibilities 
  • Position requires walking, sitting, and standing at moderate levels 
  • Position requires a high level of all forms of communication skills: written, verbal, listening
  • Applicants must be eligible to work in the United States, as Wausau Events, Inc. Does not sponsor foreign workers. 
  • Applicants must have a valid driver's license and pass a Motor Vehicle Record Check of their driving history.  

COMPENSATION

  •  Pay Range is $18.00 to $19.50 per hour. 
  • This position qualifies for internship credit.
